Job Description

The Office Administrator directly supports the leadership team while assisting with other office administrative responsibilities within the AGS Hub office.  The Office Administrator will provide support to our managers and employees, assisting in daily office needs and managing general administrative activities. The Office Administrator’s responsibilities include making travel and meeting arrangements, preparing reports, and maintaining appropriate filing systems.

Responsibilities:

  • Ensure superior administrative support to leadership and the entire team through expert knowledge of the organizational processes and procedures.

  • Provides routine administrative support to include calendar management, composing and typing documents, answer direct lines for executives being supported, create spreadsheets, send emails, filing, faxing, etc.

  • Complete special projects on an as-needed basis.

  • Manage Hub P-card and reconcile expenses.

  • Manage and order kitchen, office, and IT supplies.

  • Works with building management for office maintenance and problem solving.

  • Liaising with AGS tech support and third-party vendors for all office needs.

  • Mail/Courier management – shipping out returned laptops, asset control of what’s being shipped in and out.

  • Manage and maintain parking tags, badging, and office roster.

  • Visitor & guest coordination.

  • Catering and logistics for all hub events (internal and external).

  • Coordinate meetings, meals, conference calls, travel, etc. for leadership which entail such things as organizing attendees and picking up food.

  • Partner with employee engagement teams for office events, charity initiatives and all communications.

  • Hub related communication support.

  • Hub related security & emergency POC.

  • Other administrative duties, as assigned.

Qualifications

  • High School Diploma or equivalent. 

  • 2 or 4 year college degree preferred.

  • Minimum one year of administrative experience, to include typing skills of at least 40 wpm.

  • Proficient in Microsoft Office products, including Microsoft Word/Excel/Outlook

  • Excellent verbal / written communication skills.

  • Must be highly organized and detail-oriented.

  • Ability to multi-task and interact effectively in a team environment.

  • Consistently displays high character and a strong work ethic.

  • Criminal background check required.
